The Role

We are looking for a Head of Back Office to lead and build our operational back office function in Skövde. Done.ai offers financial services to businesses and individuals – including Buy Now Pay Later (BNPL), investments, savings, and credit – and you are responsible for ensuring these services are delivered efficiently, accurately, and with high service levels every day.

Our operational vision is clear: employees should monitor systems and act on exceptions – not push buttons unnecessarily. You drive work toward that vision by automating what can be automated, building clear processes, and collaborating closely with the product team to solve problems at their root.

The position is based at our office in Skövde and you report to the product manager for financing services. You collaborate daily with colleagues in Stockholm, Oslo, and Skövde.

Your Responsibilities

• Lead and manage the back office team in Skövde – recruit, onboard, and coach team members

• Monitor and ensure all scheduled daily activities are performed correctly, including: daily reconciliation of custody accounts and funding partners, commission reporting, regulatory reporting (payment volumes, credit volumes, tax management), AML monitoring, and KYC checks

• Manage our service desk and ensure all tickets are assigned daily and resolved within set SLAs

• Build and document processes in Jira and Confluence so that back office work is structured, traceable, and scalable

• Report monthly to product owners with KPIs

• Collaborate closely with the product team to identify automation opportunities and drive improvement initiatives

• Ensure the back office team follows best practices in systems and has proper training

• Take ownership of the operational delivery of financial services, including: deferred payments, subscription payments, savings, factoring, and currency management

What We Are Looking For

• Experience in operational leadership within finance, fintech, or similar regulated business

• Good understanding of financial processes – reconciliation, regulatory reporting, AML/KYC

• Experience working with ticket management systems (e.g., Jira) and meeting SLAs

• Strong ability to build and document processes

• Leadership experience – you have recruited, onboarded, and coached employees

• Structured, meticulous, and comfortable handling multiple parallel activities

• Fluent in Swedish and English (spoken and written)

Meritorious:

• Experience with BNPL, invoice purchasing, savings, or other consumer/corporate financing services

• Experience working closely with product development teams and driving automation initiatives

• Knowledge of Confluence and Jira Service Management

• Background in regulatory compliance or financial control
