Description

Let's Paint is growing and we are now looking for a central key person who wants to work closely with the CEO and help drive a developing company.

This is a CEO-close Operations role where you hold together daily flows, create structure, and ensure the business runs smoothly – with speed, quality, and service in focus.

You are often the first point of contact for:

  • painters
  • suppliers
  • internal inquiries
  • simple customer dialogues


You receive customers at the office, handle ongoing administration, financial documentation, purchases, and ensure that the office and organization feel professional, pleasant, and well-organized.

In short: you are the spider in the web – with judgment, integrity, and a high sense of service.

What you do in the role

CEO-close support & coordination

  • Relieves the CEO in operational daily work
  • Filters and captures questions from painters and the internal team
  • Handles parts of the CEO's email inbox according to clear guidelines
  • Follows up on matters so nothing is forgotten
  • Participates in meetings as needed and for taking minutes

Finance & administration

  • Collects and structures receipts, documentation, and travel expenses
  • Ongoing dialogue with the accounting firm (Aspia)
  • Supports in simpler financial tasks according to the CEO's priorities

Structure, ISO & quality

  • Operational responsibility for ISO work in the existing structure
  • Maintains order in documents, versions, and routines
  • Works with processes, checklists, and documentation
  • Updates (our internal system for painters)
  • Ensures that Let's Paint has order & tidiness in quality work

Office, service & culture

  • Responsible for the office being clean, cozy, and welcoming
  • Weekly office cleaning (vacuuming, trash, toilet, dishwasher, etc.)
  • Manages purchases (consumables, coffee breaks, materials, the kiosk, etc.)

Plans and coordinates:

  • trainings
  • team activities and events
  • internal information
  • Helps assemble KMA binders for projects

Purchases & practical tasks

  • Makes purchases in stores or online according to purchasing routines
  • Handles errands like mail, pickups, returns, and practical logistics

Communication & approach

  • Communicates warmly, clearly, and professionally
  • Represents the CEO in simple dialogues
  • Ensures quick responses and a good experience for everyone contacting Let's Paint
  • Ensures internal communication truly gets through and is understood

Requirements

  • Driving license B
  • Very good Swedish in speech and writing
  • Good computer skills and digital understanding
  • High integrity and good judgment
  • Can handle many parallel tasks
  • Positive, cooperative, and confident


Meritous

  • Similar coordinating / service-close role
  • Experience with financial documentation
  • ISO, quality, or document management
  • Construction, crafts, or service industry
