Administrator / Customer Service Representative / Scheduler
Do you want a varied role where you get to combine administration, customer service, and planning? We are looking for someone who is structured, service-oriented, and enjoys working in an environment with many tasks happening simultaneously.
With us, you will have an important role in daily operations, where you are responsible for administrative tasks, customer contact, and scheduling. You will be a central part of the office, contributing to providing the support that both customers and colleagues need.
About the Position
In this role, you work broadly with administration, customer service, and planning. Tasks include answering incoming calls, handling emails, compiling reports, managing simple financial tasks and mail handling, and ordering materials from suppliers.
You also handle customer service by answering questions about services and products, accepting bookings and rescheduling, administering these in the scheduling system, managing complaints and customer grievances, and creating cases that are forwarded to supervisors.
As a scheduler/planner, you are responsible for maintaining and adjusting the basic schedule based on the needs of both customers and employees. You make weekly final adjustments before the schedule is sent out to staff and also handle holidays, short-notice sick leave, and planning for replacements.
We are looking for someone who has
You have a high school diploma or equivalent and can express yourself fluently in English, both spoken and written. You have a good ability to learn basic computer programs and processes, and you are confident and professional in telephone contact with customers.
It is advantageous if you have previous experience in administrative work or office work. Good communication and organizational skills, as well as knowledge of Spanish, are also considered advantageous.

Employment Type and Working Hours
The position is full-time Monday through Friday, and you start at 7:00 AM at our office. The role also includes daily checking of incoming customer emails regarding late cancellations once at 8:00 PM every weekday, as well as immediate actions if needed. On weekends, checking is required once on Sunday afternoon.
