
Summer Job in Finance, Administration, and Logistics
Description
We are looking for a summer worker for our main office in Stöcksjö who wants to gain practical experience of how an international company operates – for real.
With us, you won't have a narrow role within one area; instead, you'll become an important part of keeping the business running during the summer when regular staff are on vacation. This means you'll work broadly within finance, administration, procurement, and logistics – ensuring our projects continue forward without interruption.
We are a small team with customers all over the world, making everyday work both varied and sometimes a bit unpredictable. One moment you're booking invoices – the next you're resolving a last-minute change in a delivery or helping a customer get the right documentation to get their goods through customs in Indonesia.
What you will do
You will primarily support the parts that must function every day:
Finance
- Ongoing bookkeeping (supplier invoices, incoming/outgoing payments)
- Keeping track of payments to ensure they occur on time
- Following up on customer payments so projects don't stall
Administration & project support
- Creating quotes, orders, and invoices in our business system Business Central, updating and modifying as needed
- Managing incoming emails
Logistics & procurement
- Booking freight through transport brokers
- Ordering materials from Swedish and international suppliers as needed
- Helping to resolve practical issues around deliveries, e.g., certificates etc.
Other
- Answering incoming calls to the switchboard and transferring to the right person (usually salespeople)
There will be staff available to help and answer questions throughout the summer, and regular staff will work on and off to handle certain critical tasks (salaries, declarations, important meetings, etc.).
How the job works in practice
Some parts are quite structured – like bookkeeping and payments. Other parts are more dynamic. We work with international customers where conditions can change quickly. This might involve:
- Last-minute changes to orders or deliveries
- Different requirements regarding customs, transport, or documentation
- Customers needing quick help to prevent projects from stalling
This means you need to be solution-oriented, flexible, and comfortable with things not always going according to routine.
We believe you are
- A student in finance (or similar)
- Comfortable with Excel and have good general computer skills
- Accurate, structured, and responsible
- Not afraid to take initiative and ask when unsure
- Comfortable with Swedish and English, even over the phone
Experience with finance work is meritorious. Experience with Business Central is a big plus, as we recently switched systems and are still developing our working methods.
About the position
- Full-time during the summer (approximately June-August, with some flexibility based on your availability)
- Introduction will take place before the vacation period
- Office in Stöcksjö (a bit outside Umeå – car/driver's license is an advantage but there are also buses)
Note that the position is on-site, i.e., we expect applicants to live in the Umeå area and be able to be at the office every day.
