About the role:
We are now seeking a structured and proactive administrative coordinator for our team in central Stockholm.
This is a varied and meaningful role where you provide administrative and secretarial support to the management group and other internal stakeholders – sometimes with more complex tasks.
You serve as a central point of contact both internally and externally, gain broad insight into the business, and independently drive your own processes and improvement initiatives to streamline and develop work methods.
The role requires a high degree of independence, strong initiative, and the ability to manage multiple parallel processes effectively in a dynamic and international environment. The position is 100% on-site.
Your tasks and responsibilities:
- Ensure structured management of digital and physical documentation and information flows
- Perform accurate data entry, document control, and quality assurance
- Support internal and external communication by preparing, compiling, and distributing materials
- Handle purchases, orders, and invoices for office supplies, indirect materials, services, and consumables for Tavex Sweden's operations
- Independently drive internal projects and processes
- Identify areas for improvement and lead change initiatives
- Support colleagues in administrative tasks (including acting as a superuser in various systems)
- Maintain order, structure, and reliability in both routine and more complex administrative processes
- Provide administrative and secretarial support to management and relevant stakeholders, including representing the management group in internal and external contacts
- Plan and organize travel, conferences, meetings, and events

Requirements
- Previous relevant experience in administrative roles
- Documented ability to manage multiple stakeholders and parallel tasks
- Experience working with various administrative systems (preferably HR- or process-related tools)
- Structured, proactive, and solution-oriented work approach
- Strong ability to independently drive change and development in administrative processes
- Very good knowledge of Swedish and English, both spoken and written
Meritous
- Academic degree in a relevant field (e.g., business administration) – not a requirement
- Experience from finance, trading, or similar industry
- Knowledge of additional languages or specific systems (e.g., ERP or HR systems)
